Context

Collecting creator payment details efficiently and on time is crucial to ensuring a smooth payment process.

Initially, creator payment details were collected and added to the platform manually by the client service team which was a time-consuming process prone to errors.
The new payment collection flow was first introduced in the creator mobile app. It was later adapted into a checklist that could be shared with creators via a magic link.

The Problem

The process was slow, error-prone, and missing or incorrect information was often discovered only when payments were due. This led to delays and a frustrating experience for creators.

Goal

Build a new payment details collection system that allows creators to enter and manage their own payment details, helping to reduce errors, eliminate last-minute issues, speed up the payment process, and provide a smoother experience for creators.

🚀 Version 1.0: Mobile app

The payment details collection flow was first developed for the creator mobile app to reduce the workload of the client service and finance teams. This supported the business decision to move away from manual bank transfers and adopt Wise, which enabled creator payments to be made via email.

Uncovered issues

👎 Tabs for platforms

Layout with a separation by platforms didn’t allow users to compare content across different platforms

👎 Grouping by creator

Grouping by creator didn’t allow users to compare individual deliverables by different creators and required too many clicks.

👎 No data source or time stamps

With 4 different API sources, it wasn’t clear for users where the data originated or when it was last updated.

👎 Fixed top metrics

Users could only showcase views, reach and engagements and had no flexibility to customise the metrics according to campaign needs.

👎 Unnecessary info taking space

Thumbnails and captions were taking too much of valuable space and the page required a lot of vertical scroll.

👎 Difficulty finding individual posts

Users had few filtering options and the existing ones weren’t comprehensive and had confusing labelling.

👎 No token connection functionality

Creator token connection is crucial for the data, however the connection flow was located on a different page.

👎 No ability to see what post did the best

Grouping by creator meant that sorting by metric showed only the best-performing creator, not the best-performing post.

💰 Introduction of wise email payment

The flow collected the info needed to process creator payments through Wise, with the email address being the key requirement.

Collection of postal and billing address was a legal requirement for the payment invoices we issued.

💰 Collection of VAT info for LTD entity

By law, the business had to confirm the VAT status of creators working under an LTD entity and include it on their invoices.

💰 Collection of various US tax forms

For the LABS entity, we were required to collect different tax forms based on the creator’s location and legal entity status.

💰 Collection of the preferred currency

The flow included an option for creators to choose a payment currency different from the campaign currency.

💰 Editable summary of payment and tax details

To prevent mistakes, we added a summary at the end of the flow with quick navigation back to sections that required updates.

🚀 Version 2.0: Magic links

In 2024, the mobile app was deprecated, but the payment flow was migrated to the web and shared with creators via a magic link. In 2025, the business introduced an option to pay via bank transfer, which required adjustments to the design. As part of this update, a bank details collection flow was added, along with a breakdown for UK creators working through agencies or lenders.

Actionable points

• Maintain the same details collection flow previously used in the mobile app.

• Add the ability to provide details for bank transfers.

• Implement validation for the details provided.

• Introduce different flows for agencies and lenders acting on behalf of creators.

• Create dynamic fields that adapt based on the creator’s country.

• Display collected details in the interface for the finance and client service teams to review.

 💰 Bank transfers

A new payment option via bank transfer was added. Since Influencer works with creators worldwide, the system is designed to collect the banking details based on each creator’s location.

 💰 Bank details

By selecting a country, the system displays the relevant bank detail fields for that location (such as IBAN, SWIFT, etc) and performs validation based on it.

 💰 Tin number

The company is legally required to report creator payments to the IRS. A TIN is necessary to ensure that the income reported by payers matches the income reported by creators.

 💰 Lender vs Agent

To process payments correctly, it was important to determine whether the details belong to a lender or an agency acting on behalf of the creator. If lender was selected, the lender fee would need to be specified.

Impact

The payment collection flow was introduced alongside the payment management hub, where the client service team can approve creators for payment after a campaign is successfully completed, and the finance team can review and initiate the payment. The payment collection flow is critical to the success of the overall process.

As of Q2 2025/2026, the finance hub achieves an average payment success rate of 95.45%, with approximately 135 transfers processed in each weekly payment run.

This represents a major achievement compared to early 2023, when payment details were collected manually, deal information was stored in HubSpot, and each payment was initiated by hand. Automating these processes has significantly reduced errors, saved time for client service and finance teams, and enabled faster, more reliable payments to creators.
